Recording Consent Guide for Meetings

Before you press record, make sure the people in the conversation know and agree. This guide explains why it matters and how to ask without making it awkward.

In some places you may record a conversation you take part in with only your own consent. In others, everyone in the conversation must agree. Some settings, such as workplaces, interviews or healthcare, add rules or policies of their own. Even where it is legal, recording people without telling them damages trust. The safest and most professional habit is to always tell people and get a clear yes before you record.

How to ask

Ask at the start, on the record, in plain language:

"Before we start, I would like to record this meeting so I can write accurate
notes and a summary afterwards. The recording stays on my device and I will
only use it for this project. Are you happy for me to record?"

If the answer is no, do not record. Take handwritten notes instead.

Online meetings

If you are on a call, many platforms announce recording and may ask participants to consent. MeetMemo does not join calls and cannot see call participants, so you are responsible for telling them. Remember that people joining late may have missed the announcement.

Good habits

  • Say what the recording is for, who will see it, and how long you will keep it.
  • Do not record sensitive conversations such as passwords, payment card numbers or health details unless you really need to.

  • Delete what you no longer need. MeetMemo lets you delete recordings, transcripts and notes.
  • Know when AI is involved. If you run AI transcription, the audio is sent to an AI service for processing. Tell participants, and check any client or employer rules about third-party processing. See our Privacy Policy.
  • Respect client rules. Some clients forbid recording or AI tools in their meetings. Check first.

Imported recordings

If you import a recording, make sure you have the right to use it, and that everyone in it agreed to it being recorded. See meeting transcription.

If someone objects

Stop recording, delete anything already captured of them if they ask and the situation requires it, and continue with written notes.
