Summary
- Your meeting content is stored on your device, encrypted, by default.
- Our servers hold your account email, preferences, subscription status and usage counts, not your meeting content.
- Content leaves your device only when you start an AI action and agree. It is then processed by an AI service.
- You can delete data on your device and delete your account.
This is not a promise that all data always stays on your device. AI features require sending the content you choose to an AI service, as explained below.
Information we handle
Account data (on our server). Your email address, language and timezone preferences, whether you completed onboarding, and sign-in session records such as the device name and timestamps. One-time sign-in codes are stored only in hashed form and expire after 10 minutes.
Subscription and usage data (on our server). Your plan, subscription status verified through Google Play, and counts such as transcription minutes and PDF exports used in the current month, so that plan limits can be enforced.
Meeting content (on your device). Recordings, video, snapshots, transcripts, notes, tasks, documents and branding are stored on your device, encrypted with a key held in the Android Keystore. They are not stored on our servers.
Google Calendar (optional). If you connect Google Calendar, the server stores the connection needed to act on your behalf. When you create or change events, they pass through our server to Google. You can disconnect at any time.
This website. If you join early access or send a message through the contact form, we store your email, your message, the page you submitted from and the time, to reply to you and tell you about the launch. By default this website sets no cookies and loads no analytics. If analytics are enabled in future, we will ask for your consent where required and update this policy.
When AI processing happens
AI features are never run silently. Before each AI action the app shows what will be sent and asks you to agree. Depending on the action, this is audio, transcript text, or the best-matching text excerpts from your notes.
The content is sent over HTTPS to the MeetMemo server, which forwards it to an AI provider to produce the result and does not keep a copy. The AI provider processes the data under its own terms and policies. The result is saved on your device. If you do not run AI actions, your meeting content does not leave your device.

- Google Play for app distribution and subscription billing
- Google for sign-in and, if you connect it, Calendar
- An AI provider for transcription and text generation
- An email delivery service for sign-in codes and replies
These services process data under their own terms. We will list the specific providers and links here before launch.
Retention and deletion
- On your device, you can delete transcripts and notes, clear temporary files, erase all data on the device, or delete recordings individually.
- Your account. You can delete your account in the app, which removes your account data from our server.
- Website messages and early-access emails are kept until you ask us to remove them, which you can do through the contact page. Specific retention periods will be confirmed before launch.
Recording other people
Recording conversations is regulated in many places, and rules differ. You are responsible for telling participants and obtaining consent where required. See the recording consent guide. It is general information, not legal advice.
Your choices and rights
Depending on where you live, you may have rights to access, correct or delete your personal data. Contact us through the contact page to make a request.

MeetMemo is not directed at children.
