One workflow from the moment a meeting starts to the document you send afterwards. Every AI step is optional, shows what it will send, and ends with a draft for you to review.
1. Prepare for a meeting
Create the meeting in the app with a title, date and agenda, and add the client and project it belongs to. If you connect Google Calendar, the meeting can also be created on your calendar, and you can sync calendar changes into the app. Calendar sync is manual today, not automatic in the background.
Preparing takes a minute and pays off later: the client name appears in your meeting list, and the agenda is searchable.
2. Capture the discussion
Record audio or video in the app, or import a recording you already have. During a recording you can take snapshots of a slide or whiteboard, each stored with its time in the recording, with an optional caption and note.
MeetMemo does not join Zoom, Google Meet or Teams calls on its own. It records through your phone, or you import a file. Read meeting recording for what is and is not supported, and our recording consent guide before you press record.
3. Generate meeting intelligence
When you are ready, run the AI steps. You see what will be sent, and you must agree each time.
- Transcribe the recording into a timestamped, editable transcript.
- Generate notes from the transcript: an executive summary, key points, client requirements, confirmed decisions kept apart from proposed ideas, action items, budget references, risks, unresolved questions and anything unclear. See AI meeting notes and summaries.
4. Organize and search the information
Everything is saved on your device, encrypted. Search notes, transcripts, agendas and documents on your device. When you want a written answer, ask a question across your meetings. MeetMemo sends the best-matching excerpts to an AI service only if you choose, and the answer lists its sources. If there is not enough evidence, it says so. See searchable meeting history.
5. Track commitments
Review the action items from the notes and confirm the ones that should become tasks. Add tasks by typing or speaking, set due dates and reminders, and check anything MeetMemo marked as ambiguous. Reminders are local notifications on your phone. See meeting action items and voice-to-tasks.
6. Create business documents
Draft meeting minutes, a project brief, a requirements specification, a scope of work, a proposal, a quotation or a progress report from the meeting. Review and edit the draft, resolve anything flagged unconfirmed, confirm prices for quotations, and export a PDF with your branding. See meeting notes to proposals and branded business documents.

What to expect from AI, honestly
- AI makes mistakes. Transcripts can mishear names and numbers. Summaries can miss implied decisions. MeetMemo is designed to flag uncertainty and never to treat a suggestion as a decision, but it cannot guarantee accuracy.
- You review everything. Read the transcript, notes and documents before you rely on them or share them with anyone.
- It needs a connection for AI steps. Recording, tasks and reminders work offline; transcription, notes, AI answers and AI drafts need internet.
- Limits exist. Monthly transcription minutes and PDF exports are limited by plan, and recordings over about 95 minutes cannot be transcribed in one go. See pricing.
- Status. MeetMemo is in early access. The Android app has not been publicly released. See the features page for the status of each capability.
