Turn a Client Meeting Into a Proposal Draft

The requirements are already in the conversation. MeetMemo drafts the proposal from them, flags what it could not confirm, and leaves prices and terms for you to decide.

From conversation to draft

A client meeting produces the raw material for a proposal: goals, requirements, constraints, timing and budget hints. Writing it up afterwards from memory is slow and loses detail. MeetMemo uses your meeting notes to draft the document while the conversation is fresh.

Available document types include project proposal, scope of work, quotation or estimate, project brief, requirements specification, progress report and meeting minutes, plus a custom document.

The workflow

  1. Meet. Record the client meeting and generate notes.
  2. Pick the document. Choose Project proposal, for example.
  3. Draft. The proposal sections (executive summary, objectives, proposed solution, scope, deliverables, milestones, timeline, assumptions and exclusions) are filled from the meeting. Details that were not discussed are marked unconfirmed rather than invented.
  4. Add the commercial details. For quotations you add line items, a quotation number and a validity date, and you confirm prices, taxes and payment terms. The totals are calculated for you.
  5. Review and export. Edit anything, then export a branded PDF.

What stays in your hands

MeetMemo drafts, you decide. It will not finalize a quotation until you confirm the commercial details, and sections with unconfirmed content block export until you review them. Prices, taxes, payment terms, legal wording and anything contractual should always be checked by you, and by a professional where needed.

Limits and requirements

  • A draft is only as good as the meeting notes. Vague discussion gives a vague draft.
  • AI-written text needs review for accuracy, tone and commitments.
  • Export is PDF. Complex scripts such as Arabic and Devanagari are not yet rendered correctly in PDFs.
  • PDF exports are limited per month on each plan. See pricing.
  • Proposals are not contracts. Seek legal advice for binding terms.
